The Challenge

Scaling With a Knowledge Gap

The medical equipment sector in Hong Kong faces a critical "knowledge gap." With over 410,000 active pieces of medical equipment across public hospitals and clinics, maintenance teams are overwhelmed by data overload and workforce shifts. Critical technical information is often scattered across physical binders, PDFs, and disparate worklogs. Furthermore, as experienced engineers retire, their "tribal knowledge" regarding complex repairs is lost, leaving newer staff without guidance. The client needed a solution to move from a reactive "break-and-fix" model to a proactive, data-driven workflow while ensuring strict adherence to safety standards like IEC60601-1.

Our Approach

We designed and proposed a Tiered-Access AI Chatbot Platform specifically for medical equipment maintenance. The solution was built on a robust framework of Role-Based Access Control (RBAC) to serve two distinct user groups:

  • For Engineers: We created a mobile-accessible "Digital Librarian." The AI ingested manuals, historical worklogs, and safety guides for 60 priority equipment models. Using Natural Language Processing (NLP), the chatbot allows engineers to query complex technical issues in real-time (in both English and Traditional Chinese) to receive instant troubleshooting steps, spare part recommendations, and safety reminders.

  • For Management: We developed an analytics dashboard that integrates with OneSource and client worklogs. This system tracks failure patterns and engineer workload distribution, enabling data-driven decisions regarding procurement and strategic planning.

The implementation followed a phased roadmap, starting with a pilot of 10 manuals to refine search capabilities before scaling to the full priority list.

The Results

The deployment of the AI Chatbot successfully turned complex, isolated data into actionable intelligence:

  • Preserved Institutional Knowledge: The system successfully captured and digitized "tribal knowledge," ensuring that repair history and expert techniques remain accessible even as staff turnover occurs.

  • Optimized Field Operations: Engineers no longer waste time searching through manuals. They now have instant access to device-specific maintenance instructions and diagnostic support, significantly reducing equipment downtime.

  • Predictive Management: Management gained visibility into high-failure parts and workforce bottlenecks, allowing for smarter inventory procurement and more efficient staff allocation.

  • Enhanced Safety & Compliance: By standardizing access to official OEM manuals and safety protocols, the risk of human error during maintenance was significantly mitigated.
